SPLITZ STUDIO – TERMS & CONDITIONS

These Terms & Conditions apply to students attending classes, workshops, rehearsals and activities operated by SPLITZ Studio.

By registering a student and enrolling them into classes, the parent/guardian agrees to these Terms & Conditions. Parents/guardians are responsible for ensuring that the information held on their Parent Portal account is accurate and kept up to date.

SPLITZ Studio reserves the right to update these Terms & Conditions when reasonably necessary. Parents/guardians will be notified of any significant changes.

1. Registration & Parent Portal

All students must be registered through the SPLITZ Studio Parent Portal before attending regular classes.

A valid payment card must be registered to the account for students enrolled in monthly classes.

Parents/guardians are responsible for keeping contact details, emergency contacts and relevant student information up to date.

Any medical condition, allergy, injury, additional need or other information which may affect a student's safe participation in class should be disclosed to SPLITZ Studio and updated whenever circumstances change.

2. Trial Classes

Where offered, new students may attend a trial class before committing to regular enrolment.

Trial places are subject to availability and do not guarantee an ongoing place in the class.

Following a trial, parents/guardians should confirm whether they wish to continue. Regular tuition fees will apply once the student is enrolled.

Adult classes, workshops, holiday schools and other special events may have separate booking arrangements and are not necessarily included within the free trial policy.

3. Tuition Fees

SPLITZ Studio tuition fees are calculated across the teaching year and divided into 12 equal monthly payments for convenience.

Monthly payments do not represent the number of lessons taking place within that particular calendar month. Some months will contain more teaching weeks than others and scheduled studio closures/holidays are already taken into account when calculating the annual tuition fee.

Monthly tuition fees are payable throughout the year, including months containing school holidays.

Payments are collected automatically using the payment card registered on the Parent Portal, normally on the 1st of each month.

Parents/guardians are responsible for ensuring that a valid payment method is held on their account and that payments are kept up to date.

Additional charges such as examinations, costumes, workshops, shows, uniform, holiday schools or other optional activities are not included within regular monthly tuition fees unless specifically stated.

4. Failed & Outstanding Payments

If an automatic payment fails, the parent/guardian remains responsible for the outstanding balance.

SPLITZ Studio reserves the right to contact the account holder regarding overdue fees and to temporarily suspend a student's attendance where fees remain unpaid.

Any administration charge applied to failed or overdue payments will be clearly communicated and will be reasonable and proportionate to the costs incurred.

Continued non-payment may result in the student's place being withdrawn.

5. Leaving a Class / Notice Period

SPLITZ Studio requires one month's written notice if a student wishes to leave a class or leave the studio completely.

Notice should be provided by email to SPLITZ Studio.

Fees remain payable throughout the notice period and the student is welcome to continue attending their classes during this time.

Removing a student from the Parent Portal, stopping attendance or cancelling a payment card does not constitute notice.

Where a student wishes to reduce the number of classes they attend, the same notice period applies to the class being discontinued.

6. Student Absence

Tuition fees reserve a student's place within their class and therefore refunds or credits are not normally provided when a student is unable to attend due to personal circumstances, holidays, other commitments or short-term illness.

Where a student has a significant or long-term medical issue, parents/guardians are encouraged to contact SPLITZ Studio so that individual circumstances can be considered.

Places cannot normally be held without payment where a student chooses to attend another activity which clashes with their SPLITZ Studio class.

7. Classes Cancelled by SPLITZ Studio

If SPLITZ Studio needs to cancel a class, we will make reasonable efforts, where practicable, to provide an alternative class, replacement session or other appropriate arrangement.

Where a class cannot reasonably be replaced, SPLITZ Studio will consider an appropriate credit or refund taking into account the circumstances and the tuition already provided within the relevant payment period.

Occasionally classes may need to be cancelled, shortened, relocated or delivered differently because of circumstances outside SPLITZ Studio's reasonable control, including severe weather, flooding, loss of utilities, emergency building issues, government restrictions or other safety concerns.

In these circumstances, SPLITZ Studio will act reasonably and will communicate arrangements to parents/guardians as soon as practicable.

Nothing within these Terms & Conditions affects a customer's statutory consumer rights.

8. Timetable & Class Changes

SPLITZ Studio reserves the right to make reasonable changes to the timetable, class times, teachers, studios or class groupings where necessary.

Where possible, parents/guardians will be given reasonable notice of significant changes.

Classes may occasionally be combined or covered by another suitably experienced member of staff.

Progression between levels, age groups and syllabus classes is determined by SPLITZ Studio teaching staff and is based on factors including age, ability, experience, maturity and readiness.

9. Examinations

Students will be invited to take examinations when their teacher considers them ready.

Progress varies between students and examination entry is at the discretion of the teaching team.

Participation in examinations is optional unless otherwise clearly stated.

Once an examination has been entered and fees have been paid to an external examination body, refunds may not be possible. Any applicable cancellation/refund arrangements will be communicated when examination entry is offered.

Additional examination coaching or rehearsals may be required where appropriate.

10. Shows, Performances & Events

Participation in shows, performances, competitions, carnivals, workshops and other special events may involve additional costs.

These costs will be communicated before parents/guardians commit to participation wherever reasonably possible.

Once costumes, examination entries, tickets or other non-refundable items/services have been ordered or purchased on behalf of a student, SPLITZ Studio may be unable to provide a refund if the student subsequently withdraws. Any amount retained will reflect costs already incurred or committed.

Additional rehearsals may be required for performances and parents/guardians will be informed of these arrangements.

11. Uniform & Appearance

Students should attend classes wearing the correct SPLITZ Studio uniform and appropriate footwear for their class.

Hair must be neat, secure and away from the face. Ballet students should wear their hair in a bun where appropriate.

Jewellery should not be worn during classes unless agreed by the teacher for medical, religious or other appropriate reasons.

Students who repeatedly attend without appropriate uniform, footwear or hair may be asked to observe rather than participate where the teacher believes participation would be unsafe.

Any shoes or equipment loaned by SPLITZ Studio remain the property of the studio and should be returned after use.

12. Attendance & Punctuality

Classes operate to a timetable and students should arrive in sufficient time to be ready for the scheduled start of their class.

Late arrival can be disruptive and may prevent a student from completing an appropriate warm-up.

Where a student arrives significantly late, the teacher may decide that it is unsafe for them to participate fully in the class.

Parents/guardians should ensure that children are collected promptly after their final class.

13. Students Waiting Between Classes

Students who have consecutive or closely scheduled classes may wait within the designated reception/foyer areas where appropriate.

Parents/guardians should be aware that these areas are not continuously supervised.

Unless SPLITZ Studio has specifically agreed otherwise, responsibility for a child outside their scheduled class time remains with their parent/guardian.

Younger children should not be left unattended before or after their class unless an arrangement has been agreed with SPLITZ Studio.

14. Student Conduct

SPLITZ Studio aims to provide a positive, supportive and inclusive environment for all students.

Students are expected to:

- treat teachers, staff and other students with respect;

- listen to and follow reasonable instructions from teaching staff;

- behave safely and appropriately;

- respect studio property and the belongings of others;

- avoid behaviour which disrupts the learning of other students; and

- treat other students with kindness and respect.

Bullying, intimidation, discrimination, abusive behaviour, violence or deliberately unsafe behaviour will not be tolerated.

Where behavioural concerns arise, SPLITZ Studio will normally work with the student and parent/guardian to resolve them.

For serious incidents, safeguarding concerns or repeated unacceptable behaviour, SPLITZ Studio reserves the right to suspend or terminate a student's enrolment. Any financial consequences will be dealt with fairly having regard to the circumstances and services already provided.

15. Food, Drink & Studio Areas

Food and chewing gum are not permitted within the dance studios unless specifically authorised.

Students should bring water in a secure, clearly labelled bottle.

Any spillages should be reported immediately.

Students using reception, foyer or kitchen facilities must leave them clean and tidy.

Staff-only areas, including the reception desk and storage areas, must not be accessed without permission.

16. Personal Belongings

Students are responsible for their own belongings.

Dancewear, shoes, coats, water bottles and other personal items should be clearly labelled.

SPLITZ Studio cannot guarantee the security of personal belongings brought onto the premises and recommends that valuable items are not brought to classes unless necessary.

Lost property will be retained for a reasonable period before unclaimed items may be disposed of or donated to charity.

17. Health, Safety & Injuries

Dance and acrobatic activities involve physical exercise and carry an inherent risk of minor injury.

SPLITZ Studio takes reasonable steps to provide a safe teaching environment, appropriate instruction and suitable equipment.

Students are expected to follow teachers' safety instructions and should not attempt skills they have been instructed not to perform.

Parents/guardians must inform SPLITZ Studio of any injury, medical condition or other circumstance which may affect a student's ability to participate safely.

Teachers may modify or prevent participation in an activity where they reasonably believe this is necessary for the student's safety.

Nothing within these Terms & Conditions excludes or limits SPLITZ Studio's liability where it would be unlawful to do so.

18. Acro & Physical Skills

Acrobatics, tumbling and other physical skills should only be performed under appropriate supervision and according to the student's current level of training.

Students should not attempt new or advanced skills at home solely because they have seen or practised them within a class.

Progression is determined by the teacher and students may be asked to return to prerequisite skills before progressing.

19. Photography & Video

Parents, guardians, friends and visitors must not photograph or film classes without permission from SPLITZ Studio.

SPLITZ Studio may occasionally photograph or film classes, performances and events for teaching, promotional or social media purposes.

Where SPLITZ Studio relies upon consent for promotional photography/video, appropriate permission will be obtained separately from acceptance of these Terms & Conditions.

Parents/guardians should inform SPLITZ Studio if their photography/video preferences change.

SPLITZ Studio will take reasonable steps to respect recorded photography and video permissions.

20. Data Protection & Privacy

SPLITZ Studio collects and uses personal information for purposes including student registration, administration, payments, communication, safeguarding and the safe delivery of classes.

Personal information will be handled in accordance with applicable UK data protection law.

Further information about how personal information is collected, used, stored and shared should be provided within the SPLITZ Studio Privacy Notice.

Parents/guardians are responsible for keeping information held on their Parent Portal account accurate and up to date.

21. Safeguarding

The safety and wellbeing of students is a priority at SPLITZ Studio.

SPLITZ Studio staff will follow the studio's safeguarding procedures where they have concerns regarding the welfare of a child or young person.

Where necessary for safeguarding purposes, information may be shared with appropriate professionals or authorities in accordance with applicable law and safeguarding responsibilities.

Parents/guardians can request access to SPLITZ Studio's safeguarding policies.

22. Communication

Important information may be communicated by email, Parent Portal, social media or other appropriate communication channels.

Parents/guardians are responsible for ensuring that the contact information registered with SPLITZ Studio remains current and for checking studio communications regularly.

23. Acceptance of Terms

By registering and enrolling a student at SPLITZ Studio, the parent/guardian confirms that they have read and agree to these Terms & Conditions.

These Terms & Conditions do not affect your statutory rights.
